Purchasing Associate

About the Role

We are looking for a detail-oriented and proactive Purchasing Associate to join our procurement team. In this role, you will be responsible for supporting end-to-end purchasing activities, ensuring the timely and cost-effective acquisition of goods and services required for smooth business operations. You will work closely with vendors, internal departments, and senior procurement staff to maintain supply chain efficiency and uphold quality standards.

As a Purchasing Associate, you will play a critical role in vendor evaluation, purchase order management, and inventory coordination. You will be expected to negotiate favorable terms with suppliers, track deliveries, and resolve discrepancies in invoices and shipments. This position requires strong analytical thinking, excellent communication skills, and a thorough understanding of procurement best practices applicable to the Indian market.

Key Responsibilities

• Raise and process purchase orders (POs) accurately and in a timely manner based on approved requisitions and inventory needs.
• Identify, evaluate, and onboard new vendors while maintaining strong relationships with existing suppliers across India and internationally.
• Negotiate pricing, payment terms, and delivery schedules with vendors to achieve the best value for the organization.
• Monitor and track order status, ensuring on-time delivery and resolving any supply delays or quality issues promptly.
• Verify and reconcile supplier invoices against purchase orders and delivery receipts, coordinating with the finance team for timely payments.
• Maintain accurate and up-to-date records of all procurement transactions, contracts, and vendor documentation in the ERP system.
• Collaborate with warehouse, operations, and finance teams to forecast purchasing requirements and manage optimum stock levels.
• Prepare regular MIS reports on procurement spend, vendor performance, and cost savings for management review.

Requirements

• Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field.
• 1–3 years of experience in a purchasing, procurement, or supply chain role, preferably in a manufacturing, retail, or FMCG environment.
• Proficiency in ERP systems such as SAP, Oracle, or Tally and strong working knowledge of MS Excel and MS Office Suite.
• Sound understanding of GST regulations, vendor compliance requirements, and standard procurement documentation in India.
• Strong negotiation, communication, and interpersonal skills with the ability to manage multiple vendor relationships simultaneously.
• Excellent attention to detail, organizational skills, and the ability to prioritize tasks in a deadline-driven environment.
• Ability to work independently as well as collaboratively within a team, with a problem-solving and cost-conscious mindset.
