About the Role

We are looking for a dedicated and detail-oriented Facilities & Maintenance Assistant to support the smooth day-to-day operations of our workplace infrastructure across our India office. This role is critical in ensuring that all physical assets, utilities, and common areas are maintained to the highest standards of safety, cleanliness, and functionality. You will work closely with the Facilities Manager and external vendors to deliver a comfortable and productive working environment for all employees.

The ideal candidate will have hands-on experience in building maintenance, a proactive attitude toward identifying and resolving facility-related issues, and the ability to coordinate multiple tasks simultaneously. You will be responsible for routine inspections, minor repairs, and ensuring compliance with health, safety, and fire regulations as per Indian statutory requirements including those outlined by local municipal authorities and the Factories Act where applicable.

This is an excellent opportunity for someone who takes pride in maintaining a well-functioning workplace and wants to grow within a structured facilities management environment. The position is based on-site and requires physical presence five days a week to ensure uninterrupted facility support.

Key Responsibilities

  • Conduct daily walkthroughs of the office premises to identify and report maintenance issues, safety hazards, or infrastructure defects requiring immediate attention.
  • Coordinate and supervise AMC (Annual Maintenance Contract) vendors for services including HVAC, electrical systems, plumbing, pest control, and elevator maintenance.
  • Assist in managing housekeeping staff and ensuring cleanliness standards are consistently maintained across all common areas, washrooms, and workstations.
  • Raise and track work orders for repairs and follow up with internal teams or external contractors to ensure timely closure of all pending tasks.
  • Support the procurement of office supplies, consumables, and maintenance materials by raising purchase requisitions and maintaining accurate inventory records.
  • Ensure all fire safety equipment including extinguishers, smoke detectors, and emergency exit signage are regularly inspected and compliant with local fire safety norms.
  • Assist in space management activities such as seating rearrangements, office moves, and setup for meetings, events, or audits.
  • Maintain accurate records of utility consumption including electricity, water, and diesel for DG sets, and flag any unusual usage patterns to the Facilities Manager.

Requirements

  • Diploma or Bachelor's degree in Facility Management, Civil Engineering, Electrical Engineering, or a related technical field preferred.
  • Minimum 2–4 years of experience in a facilities, maintenance, or building management role, preferably within a corporate or commercial office environment in India.
  • Working knowledge of building systems including electrical panels, HVAC units, plumbing fixtures, and DG sets.
  • Familiarity with Indian safety regulations, fire NOC requirements, and local municipal compliance procedures.
  • Strong vendor coordination and negotiation skills with the ability to manage multiple service providers simultaneously.
  • Proficiency in MS Office (Excel, Word, Outlook) for maintaining records, reports, and correspondence.
  • Good communication skills in English and Hindi; knowledge of the regional local language will be an added advantage.

Benefits

  • Competitive CTC in line with industry standards, with annual performance-based increments.
  • Comprehensive health insurance coverage including mediclaim benefits for self and dependents under a group policy.
  • Provident Fund (PF) and Gratuity benefits as per statutory requirements under Indian labour law.
  • Paid leave entitlements including earned leave, casual leave, and public holidays as per the company leave policy.
  • Opportunities for professional development through facilities management certifications and on-the-job training programs.
